BlackLine deploys Responsive AI for self-service security reviews, proposal workflows, and faster deal cycles

“The Trust Center has been paramount to our success. It allows us to focus our efforts on what matters most while giving customers immediate access to the information they need.”

The gist

BlackLine, a leader in financial close and accounting automation software, manages a steady stream of RFPs, RFIs, DDQs, security questionnaires, and customer assessments. As enterprise buying grew more complex, their Proposal Team found itself spending nearly half of its time responding to Information Technology Questionnaires (ITQs) and security requests from existing customers.

While important, these requests generated little to no new revenue. BlackLine needed a way to maintain its high standard of customer assurance without sacrificing focus on strategic, revenue-generating opportunities.

With the Responsive Platform, BlackLine built a self-service Trust Site, centralized customer-facing knowledge, and introduced AI-assisted response workflows. Today, customers can independently access security and compliance documentation, proposal professionals spend less time on repetitive work, and AI generates drafts for all information requests in minutes. The result is a mature, scalable Strategic Response Management practice that protects proposal team capacity while improving the customer experience.

The rundown

BlackLine’s response challenge

  • ITQs and security reviews consumed approximately 50% of the proposal team capacity.
  • Outdated and unverified information frequently shared with customers.
  • Buyers demanded increasing levels of information on security, compliance, and AI governance.
  • BlackLine needed to scale without adding headcount.

Impact and results

  • 11,000 unique views of the BlackLine Trust Site (built with Responsive Trust Center) and 15,500+ downloads reduce the proposal team’s ITQ workload, freeing up time to support strategic pursuits.
  • Customers can self-serve security and compliance information through the Responsive Trust Center, and the sales team can self-serve all response content using Responsive Ask.
  • Responsive AI now pre-fills 74% of draft answers within minutes of launching a new RFP project.
  • SMEs have shifted from content creation across disparate channels to in-platform content review, improving efficiency, visibility, and quality.
  • The proposal team influences approximately 30% of the company's revenue while maintaining a 50% proposal win rate.

Assurance and accuracy are pursuit non-negotiables

At BlackLine, customer assurance has always been a critical part of the buying process. Prospects and customers regularly request documentation related to security, compliance, privacy, and governance. As those requests increased, so did the burden on the proposal team.

Information Technology Questionnaires (ITQs) became particularly challenging. These requests often came from existing customers conducting routine reviews rather than evaluating new purchases. While important, they consumed significant time and attention from a team also responsible for supporting strategic RFPs and revenue-generating opportunities.

“We needed to stay laser-focused on must-win deals,” said Tara Motter, Director of Proposals at BlackLine. “But ITQs were taking up a significant portion of our workload.”

Meanwhile, RFPs, RFIs, DDQs, and other requests continued increasing in number and complexity. More than 30% of BlackLine’s revenue depends on RFPs, so it was critical to support the sales team as demand grew.

AI experimentation identified an enterprise need for SRM

BlackLine's approach to AI evolved through experimentation. BlackLine explored utilizing generative AI capabilities to meet their response needs, but Tara recognized early in the process that LLMs alone weren't enough.

Without governed content, source validation, and workflow controls, answers were difficult to trust and even harder to scale. By anchoring AI inside a purpose-built Strategic Response Management platform, BlackLine gained the speed of AI while maintaining the accuracy, governance, and consistency required for customer-facing responses.

Building a Trust Center to scale customer assurance

BlackLine selected Responsive to operationalize AI across the full pursuit lifecycle. They chose to prioritize overcoming their ITQ challenge and implement Responsive Trust Center as a self-service destination where prospects and customers could access the security, compliance, and governance information they needed without waiting for a manual response.

BlackLine Trust Center

The BlackLine Trust Site houses customer-ready resources, including:

  • Security documentation
  • Compliance information
  • SOC reports
  • ISO certifications
  • Certificates of Insurance
  • Governance and risk-management materials

Because many requests came from existing customers already operating under active NDAs, onboarding contacts into the Trust Site was straightforward. Instead of repeatedly answering the same questions and potentially providing customers with outdated information, the proposal team could direct stakeholders to a centralized location where information is always up to date, approved, and easy to access

Once inside the Trust Site, customers can quickly find answers without submitting a questionnaire or waiting for a response from BlackLine. They use Responsive Ask, the Trust Site’s conversational AI assistant, to ask questions in natural language and instantly surface answers grounded in BlackLine’s approved security and compliance content.

Customers can also browse and download the latest documentation, including certifications, audit reports, bridge letters, and governance materials. Instead of searching across emails, spreadsheets, or multiple portals, stakeholders get a single pane of glass that provides visibility into BlackLine’s security posture, compliance programs, and certifications from one centralized destination.

The impact was immediate. Today, BlackLine’s Trust Site has generated more than 11,000 unique views and 15,500 downloads, significantly reducing the proposal team’s ITQ workload while improving the customer experience.

“The launch of the Trust Site in the fall of 2025 has been a significant win, providing our sales, support, and professional services teams with immediate access to vetted, customer-ready information. It’s not only streamlined how we communicate with prospects and clients, but also solidified our reputation for being quick, knowledgeable, and reliable, which in turn builds greater confidence in our solutions.”

Delivering self-service value across the business

As BlackLine expanded self-service for customers, the company applied the same philosophy internally. The proposal team wanted sales representatives to access trusted information without waiting for proposal resources to become available. To accomplish this, BlackLine centralized approved content within Responsive and enabled self-service through Responsive Ask.

Now, sales teams can quickly locate approved answers, documentation, and supporting materials directly from the platform. This gives teams the confidence to respond faster while maintaining consistency across every customer interaction. It also reduces dependency on the proposal team for routine requests.

“We want our sales teams moving deals forward, not waiting for answers.”

Deploying AI across the full pursuit lifecycle

With a trusted knowledge foundation established, BlackLine began introducing AI agents throughout its response workflows. The team adopted Responsive AI capabilities, including:

  • Responsive Ask (Answering Agent): Enables organization-wide self-service and gives proposal managers instant access to approved answers while responding in online portals, which account for roughly 50% of BlackLine’s requests.
  • Executive Summary Agent: Establishes consistency in brand, voice, and competitive differentiations for bids submitted globally by multiple international teams.
  • Fit Analysis Agent: Integrates with competitive intel in HighSpot to provide more comprehensive insight into solution fit, red flags, and win themes.

These tools help teams quickly locate information, draft responses, and evaluate opportunities while ensuring outputs remain grounded in approved content. Today, Responsive AI pre-fills 74% of draft answers within minutes of launching a new RFP project.

That shift has fundamentally changed the role of BlackLine’s subject matter experts (SMEs). Previously, SMEs spent significant time creating responses, answering repetitive questions, and searching for information. Now they receive nearly complete drafts and can focus on refining, validating, and tailoring content for individual customers. Instead of creating content from scratch, SMEs now spend their time improving it.

Elevating the proposal team through SRM

As Trust Center adoption increased and AI became part of daily response workflows, the proposal team gained capacity to support strategic pursuits, collaborate more closely with sales, improve content quality and governance, and focus on the opportunities that drive revenue.

The team established a standardized global process that ensures every project is reviewed and assigned within one business day. Sales teams receive clear expectations, consistent support, and access to trusted information regardless of geography or business unit.

This approach has helped position the proposal organization as a strategic imperative, influencing approximately 30% of the company’s revenue while maintaining a 50% proposal win rate.

“We treat sales as our internal customers,” Tara said. “Our goal is to make it easier for them to win.”

Embracing SRM maturity leadership

By building a governed knowledge foundation, expanding self-service access, connecting AI across response workflows, and measuring outcomes that matter to the business, BlackLine has established a mature Strategic Response Management practice.

Their solution to reduce the burden of ITQs and security reviews has evolved into a scalable growth engine that turns organizational knowledge into a competitive advantage.
